Privacy Policy
Last updated: March 2026
SwiftMould (“we”, “us”, “our”) is committed to protecting your personal data and respecting your privacy. This policy explains what data we collect, why we collect it, how we use it, and your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Our registered place of business is in Bristol, United Kingdom. We are the data controller for the purposes of this policy.
1. What Data We Collect
We may collect and process the following categories of personal data:
- Contact information — name, email address, telephone number, and business/billing address provided when requesting a quote or creating an account.
- Account credentials — email address and hashed password used to access our quoting platform.
- CAD/design files — .STEP or other 3D part files you upload when submitting a quote request. These files may contain information about your product design.
- Quote and order data — part names, revisions, quantities, material selections, and pricing details relating to quotations and orders.
- Usage data — IP address, browser type, pages visited, and timestamps collected automatically when you use our website.
- Communications — the content of emails, enquiries, or messages you send to us.
2. How We Collect Your Data
- Directly from you when you submit a quote request, register for an account, or contact us.
- Automatically via cookies and server logs when you browse our website.
- From third-party services such as Google Analytics (see Section 7).
3. How We Use Your Data
We use your personal data for the following purposes:
- To provide our services — processing quote requests, generating cost estimates, and managing your account on our cloud platform.
- To communicate with you — sending quote results, order confirmations, account credentials, and responding to your enquiries.
- To improve our website and services — analysing usage patterns to enhance user experience.
- To comply with legal obligations — retaining records as required by UK law (e.g. invoicing and accounting).
- To protect our legitimate interests — preventing fraud, securing our systems, and enforcing our terms.
4. Legal Basis for Processing
We rely on the following lawful bases under UK GDPR:
- Contract — processing necessary to provide you with a quote or fulfil an order.
- Legitimate interests — website analytics, fraud prevention, and service improvement, where these interests are not overridden by your rights.
- Legal obligation — retaining financial and transaction records.
- Consent — where you have explicitly agreed, for example to receive marketing communications (you may withdraw consent at any time).
5. Sharing Your Data
We do not sell your personal data. We may share it with:
- Service providers — cloud hosting, email delivery, and analytics providers who process data on our behalf under data processing agreements.
- Professional advisers — accountants and legal advisers where necessary.
- Regulatory authorities — where required by law or to protect our legal rights.
We do not offshore any part of our manufacturing or customer data processing. All tooling and production is carried out in-house at our Bristol facility.
6. Data Retention
We retain personal data only for as long as necessary for the purposes set out in this policy:
- Quote and order records are retained for 7 years to meet UK accounting and legal requirements.
- Uploaded CAD files are retained for the duration of your account and deleted upon account closure, unless an active order requires them.
- Website usage data (analytics) is retained for up to 26 months.
- Account credentials are held until you request deletion of your account.
7. Cookies and Analytics
Our website uses Google Analytics to understand how visitors use our site. Google Analytics collects anonymised data about your visit (pages viewed, time spent, referring source) using cookies. No personally identifiable information is passed to Google Analytics.
You can opt out of Google Analytics tracking at any time by installing the Google Analytics Opt-out Browser Add-on.
We use only strictly necessary session cookies to operate the quoting platform (e.g. to keep you logged in). No marketing or advertising cookies are set without your consent.
8. Your Rights
Under UK GDPR, you have the following rights in relation to your personal data:
- Right of access — request a copy of the data we hold about you.
- Right to rectification — ask us to correct inaccurate or incomplete data.
- Right to erasure — request deletion of your data where there is no lawful reason for us to continue holding it.
- Right to restriction — ask us to limit how we use your data in certain circumstances.
- Right to data portability — receive your data in a structured, machine-readable format.
- Right to object — object to processing based on legitimate interests or for direct marketing.
- Right to withdraw consent — where processing is based on consent, you may withdraw it at any time without affecting the lawfulness of prior processing.
To exercise any of these rights, please contact us at team@swiftmould.com. We will respond within one month.
9. Data Security
We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, or disclosure. These include encrypted data transmission (HTTPS), access controls on our platform, and regular security reviews. In the event of a data breach that is likely to affect your rights, we will notify the Information Commissioner’s Office (ICO) and affected individuals as required by law.
10. Children’s Privacy
Our services are intended for business use and are not directed at individuals under the age of 18. We do not knowingly collect personal data from children.
